Reporting directly to company leadership, the Office Manager will play a critical role in maintaining efficient office operations, supporting financial processes, ensuring compliance requirements are met, and helping scale the business as it continues its rapid growth.
Responsibilities
- Oversee daily office operations and administrative functions
- Manage and support administrative staff, including AP/AR personnel and office support team members
- Coordinate billing, invoicing, accounts payable, and accounts receivable activities
- Track and monitor receivables and aging reports
- Assist with payroll review and processing
- Ensure permits, licenses, insurance documentation, and compliance requirements are maintained and up to date
- Develop and improve office procedures and operational workflows
- Prepare reports and administrative updates for company leadership
- Coordinate with internal departments to ensure projects move forward efficiently
- Support company growth initiatives by implementing scalable systems and processes
Qualifications
- 5 years of office management, operations management, or administrative leadership experience
- Previous supervisory or team leadership experience
- Strong QuickBooks experience required
- ServiceTitan experience preferred
- Experience within construction, trades, electrical contracting, HVAC, plumbing, or a related field strongly preferred
- Exposure to billing, permitting, compliance, payroll, or accounting functions
- Excellent organizational, communication, and problem-solving skills
- Ability to thrive in a fast-paced, entrepreneurial environment
