We are seeking an organized, proactive, and detail-oriented Part-Time Administrative Assistant to provide administrative support across multiple departments and assist with a variety of operational initiatives. This is a fully onsite role that is ideal for someone who enjoys staying organized, managing documentation, supporting team members, and balancing multiple responsibilities in a professional environment.
The successful candidate will contribute to day-to-day office operations, maintain accurate records, assist with financial and administrative processes, and help ensure departmental projects and priorities are completed efficiently.
Responsibilities
- Provide administrative support to managers and internal teams, including organizing correspondence, maintaining records, and coordinating documentation.
- Maintain accurate and up-to-date files, records, and documentation related to departmental and operational activities.
- Collect and verify certificates of insurance and other required documentation from vendors and business partners.
- Prepare monthly invoices, update Excel spreadsheets, and maintain accurate financial and operational records.
- Draft standard notices, memos, correspondence, and other documents for management review.
- Prepare purchase orders, contracts, adjustment letters, notices, and other administrative materials as needed.
- Manage and reconcile petty cash, maintaining accurate records and submitting reports for approval.
- Assist with initiatives designed to support positive customer and stakeholder relationships.
- Collaborate with multiple departments on administrative projects, special initiatives, and day-to-day operational needs.
- Maintain a professional appearance and demeanor while representing the organization.
- Perform additional administrative and department-specific duties as assigned.
Qualifications
- Bachelor’s degree preferred but not required.
- At least one year of previous office, administrative, or related professional experience.
- At least one year of previous customer service experience.
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Strong organizational and time management skills, with excellent attention to detail.
- Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines.
- Strong written and verbal communication skills.
- Ability to work effectively in a team environment and collaborate with multiple departments.
- Self-motivated, proactive, and results-oriented.
