GENERAL PURPOSE OF JOB:

Perform administrative, clerical, and financial support and make sure basic supplies are on hand for the front office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Answer the phone
  • Pull quotes, blueprints and other files as needed
  • Mail collection and distribution
  • File documents
  • Scan for permanent record company documents
  • Job entry, order entry
  • Pay vendor invoices
  • Maintain NAFTA certs
  • Apply customer payments and cash receipts
  • Enter A/P invoices, and checks; A/R billings
  • A/R past due follow up, sending invoices
  • Commissions
  • Bank Reconciliation
  • Yearend financial document prep work
  • Collection calls
  • Match receipts with invoices (non-PO’s)
  • Confirm PO’s received by suppliers and that they confirm price and delivery
  • Credit applications for new customers
  • Maintain office supplies
  • Adhere to Company policies as described in Associate handbook.
  • Follow all procedures as they pertain to this position.
  • Follow all quality standards and procedures.
  • Maintain a safe and orderly work environment.
  • Other tasks as assigned.

EDUCATION and/or EXPERIENCE:

Associate’s degree (A.A.) or equivalent from two-year College or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Pay: $20.00 - $25.00 per hour
