Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant/Accounting Specialist to join our team. This position works closely with the Business Manager and Contract Administrator and requires excellent communication skills, an eye for detail, and the ability to manage multiple priorities effectively.
Responsibilities
- A/R & A/P data entry and management tasks
- Processing and entering billing data related to invoicing and creating payment applications
- Receiving, posting, and processing payments against open invoices and payment applications
- Entering Purchase Orders and managing Vendor Invoices related to Accounts Payable
- Maintaining attention to detail for accuracy and completeness with all A/R and A/P tasks
- Generates and reviews various database applications, generates reports and tracking spreadsheets
- Assist in new construction and maintenance contract vendor setup and data entry.
- Additional clerical duties such as assisting owner and office management, weekly payroll, inter-office communication, filing, and mail processing
Ideal Candidate will have:
- Minimum 3 years of experience in an Administrative Assistant position; experience with a Construction Firm is a plus
- An intelligent individual with an attention for detail
- Ability to review and manage documents at a high level
- Proficiency with the Microsoft Office Suite; experience with QuickBooks is a plus
- Proficient in typing and data entry
- Exceptional written and oral skills and the ability to present a knowledgeable and professional image to communicate with high level clientele
- Ability to multi-task responsibilities while working in a fast-paced environment
- Possess an energetic, engaging, positive character others want to be around; while being self-motivated, and having a focused & dedicated work ethic
