Job Summary
The Purchasing and Inventory Control position oversees the complete supply cycle. This role is responsible for procuring goods, managing vendor relationships, verifying incoming shipments, and maintaining tight inventory control to ensure product availability and system accuracy.
Key Responsibilities
Purchasing & Procurement
- Monitor stock levels and analyze historical demand to determine purchasing needs.
- Issue, track, and manage Purchase Orders (POs) in the company’s inventory or ERP system.
- Negotiate pricing, delivery terms, and contracts with approved vendors to secure cost-effective deals.
- Follow up with vendors to expedite orders, ensure on-time delivery, and resolve any back-order issues.
Receiving & Put-Away
- Receive inbound deliveries and physically verify shipment contents against packing slips and POs.
- Inspect products for damage, defects, or discrepancies; process returns or vendor credits for incorrect items.
- Accurately enter goods receipt notes (GRNs) into the ERP or inventory management system.
- Label and store materials in designated warehouse locations to ensure optimal organization and traceability.
Inventory Control & Cycle Counting
- Perform regular cycle counts (daily/weekly/monthly) to verify physical stock against system records.
- Investigate and reconcile inventory discrepancies and adjust stock levels accordingly.
- Monitor for slow-moving, obsolete, or expired stock and report findings to management.
- Assist in organizing and executing comprehensive annual physical inventory counts
Qualifications & Skills
- Experience: 2 years in purchasing, inventory control, or a related warehouse/supply chain role.
- System Skills: Proficiency with ERP software (e.g., QBO, SAP, NetSuite, Oracle) and Microsoft Excel.
- Math & Analytical Skills: Strong numerical aptitude for analyzing data, spotting discrepancies, and reconciling counts.
- Communication: Excellent verbal and written communication for effective vendor and cross-departmental correspondence.
Education
- High School Diploma or equivalent; Associate’s or Bachelor’s degree in Business, Supply Chain, or Logistics is a plus.
