Job Summary

The Athletics Coordinator supports the Rockdale County Parks and Recreation division. This role is responsible for supervisory and administrative work, as well as managing the operations of and assisting with the overseeing, management, planning, organizing and implementation of assigned recreation programs, special events, community events, cultural events, and community outreach.  Work involves ensuring that programs and events are successful and cost-effective through assisting in the development and management of operating budgets; as well as researching and recommending changes in operations.  The employee in this role will also work with Public Relations and Marketing Department to develop marketing and promotion techniques. Supervision is exercised over a small staff of subordinates that may include temporary staff, on-call, and volunteers working the events or assisting with the assigned program. Work is reviewed by inspection and observation of condition of facilities and areas maintained, of recreational programs and services delivered, and by written and oral reports and recorded revenue.

Plans, directs and implements a varied programs of parks and recreation activities and services, special events,  community  events,   cultural  events,  and   community  outreach  to meet   the  needs of  the public.

Coordinates and facilitates special events for the county, including themes, concepts, and objectives in relation  to organizational goals and commission initiatives.

Facilitate various sponsorship sale opportunities.

Ensures events and outreach activities adhere to the establish time constraints.

Researches and recommend opportunities for special events and community partnerships with outside organizations.

Serves as a liaison between county departments,   business owners, and vendors in the   coordination of assigned program and special events; Establishes and maintains partnerships with external organizations.

Coordinates the work activities of employees and volunteers at events.

Participates in the development of the budget for programs, special events; revenue collection/deposits and compiling event billing.

Participates in the negotiation of event contracts and services agreements.

Presents reports and outcomes for programs and events.

Explains and interprets rules and regulations, fees and charges, as well as event operations to event patrons; enforces or refers enforcement to proper authorities.

Prepares and maintain various operational reports   on attendance, inventory, revenues,   and related information.

Approves or reviews requisitions for materials and supplies for event operations and maintenance; supervises and maintains revenue records; manages event expenditures.

Meets with organized groups, committees, individuals, or other interested parties to provide information, assesses community-wide program needs and interests, formulates new programs, and further public relations for the county.

Prepares and disseminates logistic memos,  creating and managing event files, staffing for events, coordinating physical equipment and production set-up, and completing event summary notes.

Handle and process all Special Event Applications for Rockdale County Parks & Recreation; Assists with registration for all department programs.

Researches and explores new opportunities and classes for the community.

Seeks out and manages and trains volunteers for programs and events.

Additional Duties:

Knowledge, Skills and Abilities

 

Knowledge of event planning methods and principles.

Knowledge of current trends and developments in the field of parks and recreation management as it relates to programs and special events.

Knowledge of budget preparation and administrative; budget analysis and financial/accounting principles.

Knowledge of the principles of supervision, organization, and administration.

Knowledge of the basic laws, rules and regulations relating to the use of facilities as applicable to County operation

Knowledge of the principles and practices of recreation programming.

Knowledge of current recreation trends.

Knowledge of computers and job related software programs.

Skill in the recruitment and training of volunteers.

Skilled in prioritizing, organizing, and managing multiple simultaneous projects.

Skilled in preparing clear and concise reports, including oral, written, and audio/visual presentations.

Skilled in applying independent judgment, personal discretion, and resourcefulness in interpreting and applying guidelines.

Skilled in developing marketing and advertisement materials.

Skilled in gathering and analyzing information  and making recommendations based on  findings and  in support of organizational goals.

Skilled in operating a computer and related software applications.

Skilled in communicating effectively with a variety of individuals.

Skilled in coordinating the work of others and prioritizing work assignments.

Skilled in resolving problems or situations requiring the exercise of good judgment.

Skilled in interpreting policies.

Ability to effectively, efficiently, and safely complete assigned tasks in a timely manner.

Ability to manage events of all sizes with responsibility for designated areas of operation. 

Ability to prepare and maintain reports and conduct research and special studies.

Ability to establish and maintain effective working relationships with the general public, co-workers, elected and appointed officials, and members of diverse cultural and linguistic backgrounds.

 

Working Conditions

 

Work is typically performed in both standard office and outdoor environments, with potential exposure to  adverse weather conditions.

 

 

Minimum Qualifications

  1. Bachelor's degree in Parks and Recreation Management, Program Management, Event Management, project Management or related field.
  2. At least one (1) year experience in managing programs or coordinating special events.
  3. One (1) year experience servicing in a supervisor or leadership capacity within Parks & Recreation or related industry.
  4. OR  have a combination of education, training, and work experience.
  5. Valid Georgia Driver’s License.

Salary : $22 - $22
