JOB TITLE: Coordinator of Theatre and Music & Box Office Manager Full-Time

REPORTS TO: Theatre and Music Chair and Artistic Director T&M

POSITION SUMMARY: This staff member will serve as Box Office Manager and Coordinator for Theatre and Music. Requires some nights and weekends.
EDUCATION AND/OR EXPERIENCE REQUIRED:
- Bachelor’s Degree in Theatre or Arts Management
- Experience in Theatre Marketing and/or Management
- 1 years’ experience working in box office management or visitor/customer service field
- Experience in supporting theatrical and music productions and events
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Box Office Management
- Build and maintain ticketing pages for each production and season tickets
- Manage and restock concessions inventory (snacks, drinks, and roses) for performances and graduation
- Respond to any emails or calls pertaining to productions, ticket sales, and refunds
- Recruit, train, and supervise box office attendants and ushers
- Oversee box office and concession sales, policies, and processes
- Assist with selecting productions for each production season (reading scripts).
- Organize the TM performance season including the Shakespeare Upon Avon and keep the departmental calendar updated
- Work with the Artistic Director and Events Coordinator to formally reserve space for production and performances
- Writes and processes short term contracts for TM contractors
- Secure performance rights and materials for theatre productions ensure contract compliance in production and promotions
- Manages day to day TM operations including theatre material orders and purchases: plan, order, coordinate, purchase of materials needed for technical production such as props, costumes, lumber, lighting and sound equipment for the calendar year
- Supervise and manage students working on production in a management or marketing position.
- Marketing/Promotions
- Work with the RCU marketing office to create and order new promotional materials
- Develop promotional and marketing strategies for TM in collaboration with the Artistic Director/Chair
- Coordinate and/or execute promotional and marketing strategies including:
- Maintain and regularly update TM website
- Create and distribute social media content, press releases, Ludus mass email campaigns, and internal announcements
- Coordinate or take and archive promotional and production photos.
- Update and order prints of department materials and cyclical promotional materials
- Coordinate student workers to market the TM events by distributing printed and digital materials
- Send and receive all email correspondence through Theatre and Music email accounts
- Recruiting
- Coordinate dates and registration for Theatrefests
- Create, schedule, and send emails to prospective students
- Data entry and tracking in Salesforce
- Create annual season program, including overseeing the sale and inclusion of corporate ads
- Create program inserts for TM events including theatre productions, voice recitals, and music showcases
- Prepare and format TM annual report, compiling relevant information
- Monitor and replenish office supplies including toner and printer paper
- Prepare purchase requests and budget transfers, invoices, expense reports, check requests, process revenue and donations for Theatre and Music, and track finances with monthly business office reconcile
REQUIRED SKILLS AND ABILITIES:
- Excellent verbal, written, and interpersonal communication skills
- Ability to work with confidential and sensitive information and data
- Advanced computer skills in Microsoft Word, Excel, and Google docs and forms
- Basic accounting knowledge
- Must be highly organized and motivated
- Must be able to work evenings and weekends, seasonally
- Ability to perform basic accounting and manage fundraising initiatives
