Position Overview
We’re seeking a full-time Office Manager to oversee daily administrative operations and ensure smooth communication between our office, crews, and customers. This role is central to keeping the company organized, efficient, and customer-focused. The ideal candidate is highly organized, tech-savvy, and thrives in a fast-paced environment where no two days are the same.
Responsibilities
- Manage daily office operations, scheduling, and communication between field crews and management
- Coordinate job scheduling, estimates, and follow-ups with customers
- Answer phones, respond to messages, and provide professional, friendly customer service
- Handle billing, invoicing, payments, and data entry in Jobber (or similar CRM software)
- Track incoming leads, organize job files, and maintain accurate records
- Support marketing campaigns by updating customer lists, tracking leads, and assisting with online reviews
- Maintain office supplies, filing systems, and ensure a clean, organized workspace
- Prepare reports and assist leadership with workflow or process improvements
- Uphold company standards of professionalism, confidentiality, and customer satisfaction
Requirements
- 2 years of experience in office management, administration, or customer service
- Strong computer skills: Google Workspace or Microsoft Office, CRM/Jobber, QuickBooks (preferred)
- Excellent written and verbal communication skills
- Highly organized with strong attention to detail
- Ability to multitask, prioritize, and manage time effectively
- Reliable, punctual, and dependable in a team-driven environment
- Positive attitude and ability to remain calm under pressure
- Experience in construction, landscaping, or tree service industries a plus
