OverviewWe are looking for a detail-oriented and process-driven Proposal Coordinator to support the full lifecycle of proposal and RFP responses. This role focuses on reviewing RFPs, extracting key requirements, managing timelines, coordinating with stakeholders, and ensuring compliant proposal submissions. While light proposal writing or formatting may be required, this position is more aligned with project management, workflow organization, and information gathering than creative design work.This is an excellent opportunity for someone who thrives in fast-paced environments, enjoys coordinating cross-functional communication, and can keep complex proposal processes on track.Key ResponsibilitiesRFP & Proposal SupportReview RFPs, RFQs, and RFIs to identify key requirements, deliverables, deadlines, and compliance needs.Break down complex RFP documents into clear tasks and timelines.Maintain proposal schedules, internal deadlines, and submission checklists.Collaborate with SMEs, leadership, sales, technical teams, and other contributors to gather required content.Support the development of written proposal content as needed (light writing/editing).Ensure all proposal responses meet formatting, compliance, and submission requirements.Manage version control, content updates, and document organization throughout the proposal process.Assist with final assembly and submission of proposals (PDFs, portals, email submissions, etc.).Project & Process ManagementServe as the central point of coordination throughout the proposal lifecycle.Manage intake of new RFP opportunities, assigning tasks and monitoring progress.Maintain proposal calendars, timelines, and status updates for stakeholders.Work with leadership to streamline and improve proposal processes and templates.Organize reference materials, past responses, and content repositories for future proposals.Cross-Functional CollaborationSchedule and run proposal-related meetings, reviews, and check-ins.Communicate status, risks, delays, and requirements proactively.Coordinate feedback and revisions from internal reviewers and subject matter experts.
