Legal Billing Coordinator – Contract | Hybrid

Robert Half Legal is partnering with a prominent global investment firm to hire a Legal Billing Coordinator. This organization specializes in alternative investments, including credit, real estate, private equity, and infrastructure. This is a 4–6 month contract opportunity to cover a leave of absence, with a hybrid schedule (3–4 days per week on-site). The target start date is January 21, and interviews are taking place now.

Position Summary:

The Legal Billing Coordinator will provide essential support to the legal department and external law firms by managing new matter creation, invoice reviews, vendor onboarding, and general billing inquiries. Legal billing experience is not required; we are seeking someone who is sharp, highly professional, and detail-oriented.

Key Responsibilities:

• New Matter Creation:
• Set up and verify new matter files, ensuring information is accurate for both the legal department and external law firms
• Assign and distribute matter numbers
• Track pending requests and escalate aged items as needed
• Invoice Management:
• Review legal invoices for compliance and proper discounts
• Identify and resolve billing discrepancies
• Coordinate with Accounts Payable for invoice processing
• Monitor and report on aged invoices
• Vendor Support:
• Assist with new vendor (law firm) onboarding and documentation
• General Billing Inquiries:
• Respond promptly to ad-hoc billing questions from internal and external stakeholders

Qualifications:

• Exceptional attention to detail
• Strong professionalism and communication skills
• Ability to organize, multi-task, and prioritize in a dynamic setting
• Quick to learn new systems (prior experience with SimpleLegal/OnIt is a plus, but not required)
• Previous experience in legal, finance, billing, or administrative support preferred
