As a Client Intake Specialist your responsibilities will include but aren't limited too:

• Conduct intake calls with potential clients and accurately record information in the case management system.

• Refer or escalate incoming calls to appropriate team members when necessary.

• Manage incoming and outgoing correspondence, including electronic and physical mail.

• Prepare and send legal documents and contracts to clients using DocuSign or hard copies as required.

• Process and organize legal documents within the firm's case management system.

• Request and follow up on medical records and other client-provided information necessary for case preparation.

• Utilize Microsoft Word and Excel to oversee and manage various projects.

• Perform general office duties and support colleagues with administrative tasks.

• Participate in case-related projects and handle additional responsibilities as assigned.

The ideal Client Intake Specialist will meet have the following:

• Strong skills in client intake, including conducting phone screens and managing communications.

• Experience with handling mass tort cases or claim administration is a plus.

• Ability to manage billing functions, calendar schedules, and briefing tasks efficiently.

• Reliable communication skills and the ability to handle multi-line phone systems.

• Detail-oriented with strong organizational and document processing capabilities.

• Proficiency with Microsoft Office Suite, particularly Word and Excel.

• Proficiency in using case management software and tools such as Aderant and Adobe Acrobat.

• Familiarity with systems like the Automated City Register Information System (ACRIS) and CompuLaw.
