Accounts Payable Specialist

We are looking for a detail-oriented Accounts Payable Specialist to join our team on a contract basis in the Princeton, NJ area. This role is essential in managing the organization’s financial transactions, ensuring accuracy, and maintaining strong vendor relationships. Responsibilities:

• Oversee the complete accounts payable cycle, including invoice entry, coding, approval routing, and timely payment processing.

• Ensure accurate and punctual bill payments across multiple accounts and brands.

• Communicate with vendors to address billing discrepancies, provide information, and foster positive relationships.

• Conduct monthly audits to identify and resolve discrepancies, ensuring compliance and financial accuracy.

• Prepare and maintain general ledger entries, supporting month-end close reporting.

• Reconcile bank accounts and monitor cash flow for outgoing payments.

• Assist in budgeting, forecasting, and year-end audit activities by providing accurate accounts payable data and documentation.

• Utilize QuickBooks Online and advanced Excel functions, such as V-Lookups, to track expenditures and generate financial reports.

• A minimum of 3 years of experience in accounts payable or related roles.
• Proficiency in accounts payable processes, including invoice coding and payment reconciliation.
• Strong knowledge of QuickBooks Online and Microsoft Excel, including advanced functions such as V-Lookups.
• Familiarity with Automated Clearing House (ACH) transactions and intercompany accounts.
• Proven ability to reconcile accounts and resolve discrepancies efficiently.
• Excellent organizational skills and attention to detail.
• Strong written and verbal communication skills for effective vendor and team collaboration.
