What are the responsibilities and job description for the Accounting Assistant I position at Robert Half?
We are currently seeking a detail-oriented and dependable Accounting Assistant for a temp-to-hire opportunity with one of our clients in the Albany area. This individual will play a key role in supporting the Accounting Department and Treasurer with day-to-day operations and special projects, ensuring the accurate and timely processing of financial activities.
The ideal candidate will be professional, trustworthy, organized, and comfortable handling confidential financial data. This is a great opportunity to gain valuable experience in a mission-driven organization with the potential for long-term placement.
Key Responsibilities:
- Coordinate approvals and postings for activities and reimbursements.
- Prepare checks for payables, verify sector fund availability, and ensure supporting documentation is complete.
- Review and reconcile sector bank accounts (daily/weekly/monthly), monitor for exceptions, and maintain banking supplies.
- Maintain sector funding agreements, signature cards, and the Sector Funding Policy & Procedures Manual.
- Process and track special funds, including catastrophic fund applications and matching program approvals.
- Attend Executive Assembly meetings to process reimbursement vouchers and print checks for Chief Sector Stewards.
- Electronically file meeting minutes and forward them to the Recording Secretary.
- Collaborate with Member Services to track membership by sector and determine funding levels.
- Train new Sector Stewards on accounting policies and procedures.
- Administer grant programs: intake, review, communication, processing, and reporting.
- Support quarterly and annual audit preparation and documentation.
- Serve as a backup to the Accounting Assistant II and assist with check requests and general accounting functions as needed.
- Scan, file, and organize documentation accurately and promptly.
- Perform various administrative tasks such as filing, photocopying, and collating.
Qualifications:
- Prior experience in an accounting or bookkeeping support role preferred.
- Strong attention to detail and ability to manage multiple tasks and deadlines.
- Excellent communication and interpersonal skills for working with members, leadership, and vendors.
- Proficient in Microsoft Office (Excel, Outlook, Word); experience with accounting software a plus.
- Ability to maintain confidentiality and handle sensitive financial information.
- Organized, professional, and comfortable working in a mission-based environment.
