Position Summary
RM Mechanical is seeking a highly organized and detail-oriented Material Coordinator to manage material packages from procurement through field delivery. This position plays a critical role in keeping construction projects on schedule by ensuring complete material packages are available when the field needs them.
The Material Coordinator serves as the central point of coordination between Purchasing, BIM, Fabrication, Vendors, Quality Control, Project Management, and Field Operations. Success in this role requires strong organizational skills, excellent communication, and the ability to identify and resolve schedule risks before they impact production.

What You'll Do
- Own all material packages after procurement.
- Verify vendor acknowledgment of purchase orders.
- Track vendor manufacturing and delivery progress.
- Monitor RM Mechanical fabrication progress.
- Maintain Package Readiness status for every package.
- Manage Required-On-Site (ROS) dates.
- Identify schedule risks and develop recovery plans.
- Coordinate deliveries with Superintendents and field leadership.
- Verify complete material packages before shipment.
- Confirm receipt into laydown yards or inventory.
- Update package status within Assemble.
- Lead weekly material planning meetings.
- Report package readiness, risks, action items, and ROS dates to Project Managers and Superintendents.
- Coordinate daily with Purchasing, BIM, Fabrication, Quality Control, and Field Operations.
- Escalate issues before they affect construction schedules.
- Support additional project coordination activities as needed.
Qualifications
Preferred qualifications include:
- Advanced Microsoft Excel skills are required. This position relies heavily on Excel every day to manage material packages, track schedules, analyze data, and report project status.
- Experience with formulas, filtering, sorting, conditional formatting, PivotTables, lookups (XLOOKUP/VLOOKUP), and working with large spreadsheets is strongly preferred.
- Strong proficiency with Microsoft Office, including Outlook, Teams, Word, and PowerPoint.
- 3 years of experience in construction, manufacturing, logistics, project coordination, purchasing, or material management.
- Exceptional organizational and time management skills.
- Ability to manage multiple priorities across multiple projects simultaneously.
- Excellent communication skills with vendors, field personnel, project managers, and leadership.
- Ability to interpret construction drawings, bills of material (BOMs), or fabrication packages is a plus.
- Experience with construction management software, ERP systems, BIM platforms, or Assemble is preferred.
- Self-motivated with the ability to work independently while collaborating across multiple departments.
