We have an immediate opening for an Administrative Assistant in our Residential department. We're seeking a highly organized, proactive, and collaborative professional to support our Residential Department. This role is central to the day-to-day operations of the Residential Office and requires strong communication, technical proficiency, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is dependable and detail oriented. This role requires sound judgment, initiative, and a commitment to supporting both operational excellence and the broader residential student experience.
Key Responsibilities
-Manage daily Residential Office operations, including communications, scheduling, and administrative coordination
-Provide phone coverage, oversee announcements, and manage mail, packages, and shared inboxes
-Support dorm staffing logistics, including scheduling coordination and coverage needs
-Maintain accurate records and data across internal systems and databases
-Assist with recruitment and onboarding processes (interview coordination, candidate communication, reference checks)
-Prepare materials for orientations, trainings, and residential programming
-Coordinate student-related logistics such as welcome materials, allowances, transportation records, and weekend planning
-Track inventory, order supplies, and coordinate with vendors and internal departments
-Support emergency preparedness processes and assist with protocols as needed
-Collaborate across departments to ensure smooth operations and a positive student experience
-Maintain organized systems and continuously improve administrative processes
Qualifications & Skills:
-Strong organizational, time management, and multitasking abilities
-Excellent written and verbal communication skills
-High level of professionalism, discretion, and ability to handle confidential information
-Technical proficiency with Google Workspace and Microsoft Office; ability to learn new systems quickly
-Resourceful, detail-oriented, and able to anticipate needs proactively
-Strong interpersonal skills; ability to work effectively with students, families, and staff
-Flexible, team-oriented mindset with a willingness to support across departments
Classification:
Full-time, 12-month (52 weeks) year-round, on-site position Non-Exempt (Hourly)
Pay Range: $20.00 – $24.00 per hour
Candidates with advanced expertise or specialized skills may be considered above the posted range.
Requirements:
-Legal authorization to work in the US
-Suitable background check result (CORI/SORI/DCF) and fingerprinting required.
-CPR Certified or willing to obtain
-Ability to physically navigate a large campus including extended walking and climbing stairs
-Valid driver's license
