Job Description:
The Employee will play a vital role in ensuring smooth clinic operations by supporting patient care, assisting in sales and lead follow-up, and providing essential administrative support. This dynamic role involves a mix of clinical and administrative responsibilities that help create an exceptional patient experience while contributing to daily operational efficiency.
Key Responsibilities
Patient Interaction and Flow Coordination
• Welcome and Greet Patients: Provide a warm and professional greeting to all patients upon arrival, ensuring they feel welcomed and valued.
• Patient Check-In and Flow Management: Guide patients efficiently through the check-in process, help with forms, and make them comfortable with refreshments and conversation.
• Prepare and Organize Patient Rooms: Stock and set up exam rooms based on patient needs, ensuring all required materials are readily available for consultations, procedures, and follow-ups.
Sales and Lead Follow-Up
• Engage and Follow Up with Leads: Reach out to prospective patients, answer inquiries, discuss available services, and schedule consultations to drive engagement.
• Present Treatment Quotes and Financing Options: Collaborate with the team to prepare flexible quote options, present financing solutions, and address budget-related questions to make care accessible for patients.
Clinical Support
• Patient Documentation: Facilitate new and returning patient documentation, update medical records, and prepare necessary forms in compliance with clinic protocols. Ensure all records are accurate, organized, and up-to-date.
• Photo and Imaging Coordination: Coordinate patient photo sessions, assist with imaging equipment setup, and guide patients in preparation for treatment consultations. Maintain consistency and accuracy in patient files.
• OR Setup and Organizational Support: Assist with operating room setup and perform organizational tasks, such as stocking supplies and ensuring the workspace is well-prepared and efficient for procedures.
Administrative Support
• General Administrative Tasks: Handle a variety of day-to-day tasks that may vary based on clinic needs, such as assisting the manager and CEO with special projects, organizing records, handling correspondence, or updating schedules.
• Stocking and Inventory Management: Regularly check and replenish clinic supplies, keeping treatment and patient areas fully stocked, organized, and prepared.
• Report Preparation and Flowchart Updates: Update patient flowcharts, report patient information to the team, and assist with preparing necessary documentation or data as requested by clinic management.
Cross-Functional Collaboration
• Collaborate with Medical and Administrative Teams: Work closely with the clinic team to ensure that all patient care and operational needs are met, fostering a positive, cohesive work environment.
• Support for CEO and Management: Provide administrative support to the CEO and clinic manager, adapting to changing needs, preparing materials, and coordinating tasks as required.
