We are seeking a dedicated IT Specialist to serve as the primary resource supporting and managing the technology that keeps our organization running. The IT Specialist is responsible for managing and supporting all aspects of technology within the organization. This role covers day-to-day technical support, onboarding new hires, network and cybersecurity, software management, and proactive risk mitigation (including phishing prevention). The IT Specialist will ensure the reliability, security, and efficiency of all IT systems and processes, serving as the primary point of contact for technology needs and collaborating with external vendors as needed.
Key Responsibilities
- Provide firstline technical support to staff across all departments (inperson, phone, remote).
- Troubleshoot and resolve issues related to desktops, laptops, mobile devices, printers, and peripherals.
- Manage user accounts, permissions, and access in systems such as Microsoft 365, Active Directory, and other business applications.
- Oversee onboarding and offboarding processes for employees, including hardware setup, software provisioning, and account management.
- Maintain and monitor local network infrastructure (WiFi, switches, routers); escalate complex issues to external IT provider as needed.
- Lead network security initiatives, including firewall management, endpoint protection, and vulnerability assessments.
- Implement and monitor cybersecurity protocols, including phishing prevention, employee training, and incident response.
- Manage software subscriptions, licensing, renewals, and compliance for all business applications.
- Coordinate with external IT vendors for escalated support, system upgrades, and infrastructure projects.
- Maintain IT asset inventory and ensure timely procurement, replacement, and decommissioning of equipment.
- Provide training and documentation to staff on IT tools, security best practices, and safe technology use.
- Ensure compliance with internal IT policies and assist with audits or security reviews.
- Continuously evaluate and improve IT support workflows, documentation, and user onboarding processes.
- Identify opportunities to automate routine tasks and streamline IT operations.
- Collaborate with departments to understand technology needs and propose solutions.
- Manage copier service contracts and coordinate repairs, ensuring costeffective solutions and minimal downtime.
- Monitor and replenish office supplies, including ink and toner, to maintain operational efficiency.
- Stay current with industry trends, emerging threats, and best practices in IT and cybersecurity.
Qualifications
- 2 years of experience in IT support or helpdesk roles. Working inhouse for a company a plus.
- Strong knowledge of Windows environments, Microsoft 365, and basic networking.
- Experience with endpoint security, backup solutions, and remote support tools.
- Demonstrated ability to manage network security, software subscriptions, and phishing prevention.
- Excellent troubleshooting, communication, and organizational skills.
- Ability to work independently and manage multiple priorities.
- Experience working with or coordinating external IT vendors is a plus.
- Relevant certifications (e.g., CompTIA A , Microsoft, ITIL, Security ) are a bonus.
- A mindset for continuous improvement and a passion for optimizing systems and processes.
Physical Requirements
- Ability to lift and move computer equipment, including desktops, laptops, and peripherals.
- Ability to work in various physical positions, including sitting, standing, bending, and walking.
Travel Requirements
- Travel to other office locations as needed including Kalamazoo, Grandville and Traverse City.
