Overview
The Front Desk Receptionist & Document Control Coordinator is the first point of contact for visitors, guests, vendors, and job candidates at Rise Modular’s Owatonna facility. This role blends front-of-house hospitality with hands-on document control responsibilities — managing the reception area, facilitating facility tours, coordinating ordering and logistics for leadership, and ensuring the shop floor is always working from the most current and accurate drawings and documents. The ideal candidate is warm, organized, detail-driven, and comfortable moving between the lobby and the production floor.

Reception & Guest Experience (~30%)
- Serve as the first point of contact for all visitors, vendors, candidates, and guests — greeting arrivals, issuing visitor badges, and notifying the appropriate team member of their guest’s arrival.
- Maintain a clean, welcoming, and professional reception and lobby area at all times.
- Answer and direct incoming phone calls promptly and professionally; take and relay messages as needed.
- Manage the visitor log and ensure all guests follow site security and safety check-in procedures.
- Coordinate guest accommodations including conference room setup, refreshments, and A/V needs for meetings.
- Support candidate experience during onsite interviews by managing arrival, escorting between meetings, and ensuring a positive visit.
- Schedule and coordinate facility tours for prospective clients, partners, investors, and VIP guests in collaboration with leadership.
- Prepare tour materials, talking-point packets, and signage as directed; ensure tour areas of the facility are presentation-ready.
- Escort tour groups through the facility, providing a professional introduction to Rise’s operations, culture, and products.
- Communicate tour schedules to production and safety teams in advance to ensure floor readiness and appropriate PPE for guests.
- Collect and relay guest feedback to leadership following tours.
- Coordinate meal and catering orders for leadership meetings, team events, and hosted guest visits — managing vendor relationships, dietary needs, and timely delivery.
- Manage office supply inventory; place orders proactively to maintain par levels and prevent shortages.
- Order and track promotional items, office equipment, and other facility supplies as directed.
- Maintain organization of shared office spaces including break rooms, conference rooms, and supply areas.
- Provide general administrative support to People Operations and senior leadership including scheduling assistance, mail handling, and document preparation.
- Assist with logistics for company events, all-hands meetings, and employee recognition activities.

- Maintain current drawing sets across the facility; conduct regular floor sweeps to ensure outdated documents have been removed and replaced.
- Manage revision control — track updates as they are issued, pull superseded versions from circulation, and maintain a clear revision history.
- Organize and maintain both digital and physical document filing systems for fast, reliable access by production, QA, and project teams.
- Coordinate document needs with production, QA, and project management teams; respond promptly to document requests.
- Support tracking logs, document registers, and general administrative recordkeeping related to document control.
- Assist during internal audits or compliance reviews by locating and providing requested documentation promptly.
Required
- High school diploma or equivalent; associate’s degree or relevant coursework preferred.
- 1–2 years of experience in a receptionist, front desk, office coordinator, or administrative role.
- Strong organizational skills and a low tolerance for errors — accuracy in document control directly impacts production quality.
- Basic proficiency in Microsoft Excel and Word; comfortable with digital file management.
- Warm, professional demeanor with strong interpersonal and communication skills.
- Ability to manage multiple tasks and stay organized in a fast-moving environment.
- Comfortable working between office and shop floor settings.
- Reliable and punctual; able to serve as the face of the organization.
- Experience in manufacturing, construction, or a document control role.
- Familiarity with document control systems or quality management systems (QMS).
- Experience coordinating events, catering, or supply ordering.
- Experience with HRIS platforms, particularly UKG.
- Bilingual (English/Spanish) a plus.
