Position Overview
The Administrative Operations and Billing Coordinator supports field service and automation operations by ensuring service documentation, invoicing, purchase orders, and financial records are accurate and aligned across multiple systems.
This role is responsible for reviewing technician service tickets, preparing and submitting customer invoices, managing purchase orders, and maintaining data integrity in ServiceFusion, QuickBooks, Monday, and internal tracking tools. Accuracy, organization, and follow-through are essential.
Key Responsibilities
- Review service tickets for accuracy and completeness
- Communicate with technicians to correct or clarify documentation
- Convert approved service tickets into customer invoices
- Apply and verify sales tax based on customer and job requirements
- Request, track, and follow up on customer purchase orders
- Submit invoices through customer billing and payment portals
- Create purchase orders for vendor invoices in ServiceFusion
- Sync purchase orders and vendor bills to QuickBooks
- Verify billing accuracy and resolve discrepancies
- Maintain invoice and income tracking spreadsheets
- Update and reconcile invoice data in Monday
- Perform weekly follow-ups on outstanding purchase orders
- Assist with sales tax liability tracking and reporting
- Support payroll processing for W-2 and 1099 team members as trained
- Maintain general awareness of shop shipping and receiving activities
Required Skills and Qualifications

- Comfortable working across multiple software platforms
- Clear written and verbal communication skills
- Ability to follow established processes and escalate issues appropriately

- Monday or comparable project management systems
- Billing, invoicing, or accounting support experience
- Experience in construction, trades, industrial, or service-based businesses
Schedule and Compensation

- Pay Range: $20 to $28 per hour, based on experience
