Purpose of Job
This position is responsible for building and maintaining the employee schedules for the supported departments, with the support of managers and/or charge nurses. Supports the daily staffing needs of the hospitals.
Job Functions
Scheduling
- Creates and implements schedules to provide qualified staff for designated inpatient and outpatient areas.
- Creates schedules complying with criteria of hospital policies, contractual agreements, if applicable, employee educational, orientation needs, and hospital/unit needs.
- Schedules are posted, meeting suggested staffing patterns and necessary skill mix for each designated unit.
- Hour exchanges are processed in a timely and accurate manner.
- Evaluates the impact of hour exchanges on future staffing levels/skill mix.
- PTO requests are reviewed and approved based upon hospital and unit/department policy and contractual requirements.
- Scheduling practices reflect cost effective placement of staff.
- Timecards are updated daily and completed at end of each pay period.
- Hours are verified and accurately totaled.
- Reports are generated for the leaders on a quarterly basis and as needed which alerts leaders to any concerns or trends.
- Assists with arranging nursing coverage for current shifts based on established guidelines and needs
- Accepts and records immediate and future staffing needs, notifying supervisors and appropriate departments, and secures replacements as directed.
- Conduct staffing huddles, to review daily staffing
- State data collection and reporting
- Recognizes staff individuality and uniqueness is respected and preserved as appropriate.
- Maintains confidentiality of staff issues
- Demonstrates empathy and caring by actively listening.
- Communicate with staff and management in a clear, timely, and understandable way.
- Responds to customer needs and questions.
- Works in a timely, organized, and clearly understood fashion.
- Has the ability to utilize the staffing technology resources to produce the outcomes necessary.
- Understands and create reports that will assist leaders in their staffing needs.
- Maintains accurate and updated computer database.
- Applies effective time utilization and organizational skills to achieve productivity and promote efficient utilization of resources.
- Demonstrates flexibility and creativity in response to meeting the changing units/department’s needs.
- Identifies and communicates quality concerns/suggestions for positive change.
- High school graduate or equivalent
- 1 year staffing/scheduling experience preferred
- Detail oriented and organized
- Ability to meet and maintain the necessary background checks as aligned with position functions
- Ability to communicate in the English language for effective written and verbal correspondence in order to complete job functions as mentioned above
- Ability to work and multi-task in a fast paced environment
- Ability to work autonomously and as a team
- Adaptable to changes in work environment and pace
- Excellent written and verbal communication skills
- Ability to communicate in the English language for effective written and verbal correspondence in order to complete job functions as mentioned above
- Previous staffing coordinator experience in a medical center/health care setting
- Experience with Microsoft Software, UKG and Oracle
