Position Overview:
The Business Operations Manager will serve as the operational anchor of our Wood Dale office, ensuring smooth day-to-day operations, supporting the COO as a highly dependable right hand, and keeping the team and office organized, supported, and running efficiently. This role is ideal for someone who is proactive, resourceful, warm, and detail-focused, with strong instincts for creating order and supporting others.
Key Responsibilities:
- Serve as a primary operational partner to the COO, providing administrative, scheduling, and organizational support.
- Manage day-to-day office operations, including supplies, vendor coordination, facility needs, and ensuring a clean, safe, and productive work environment.
- Support basic HR and people operations tasks such as onboarding logistics, maintaining employee files, coordinating team communications, and fostering a positive office culture.
- Assist with financial and business administration tasks such as invoice tracking, expense processing, timesheet coordination, and basic reporting.
- Coordinate meetings, prepare agendas, take notes, and ensure follow-through on action items.
- Maintain internal documentation, standard operating procedures, and shared resources.
- Act as a friendly, reliable point of contact for employees, field staff, and visitors.
- Identify opportunities to streamline processes, improve efficiency, and support team effectiveness.
- Handle special projects assigned by the COO, ranging from operational initiatives to office improvements.
Qualifications:
- 3 years of experience in office management, administrative support, operations, or similar roles.
- Strong organizational skills with the ability to prioritize and multitask in a fast-moving environment.
- Excellent written and verbal communication skills.
- Certified notary a plus.
- High degree of professionalism, confidentiality, and reliability.
- Proficiency with Microsoft Office Suite and basic comfort with operational or business software tools.
The compensation range for this role reflects the broad array of factors considered in making compensation decisions. These factors include, but are not limited to, skill sets, experience, training, licensure, and certifications, as well as other business and organizational needs. The disclosed range estimate has not been adjusted for the geographic differential associated with the location where the position may be filled. A reasonable estimate of the current range is $80,000-$110,000. At Rethink, it is uncommon for an individual to be hired at or near the top of the range for their role, as compensation decisions are tailored to the specifics of each case.
