Accounting Specialist (In-House) β AP/AR Focus Position Overview
The Accounting Specialist plays a key role in the day-to-day financial operations of the company, with a primary focus on accounts payable, accounts receivable, and communication with vendors, owners, and internal staff. This role ensures that invoices are processed accurately, bills are paid on time, and financial inquiries are handled professionally and efficiently.
Key ResponsibilitiesAccounts Payable & Vendor Management
- Process and pay vendor bills via EFT and company credit cards
- Review, code, and accurately log invoices in Buildium
- Communicate with vendors regarding outstanding invoices, balances, and discrepancies
- Track unpaid invoices and follow up to ensure timely resolution
- Assist with issuing and tracking Owner Contribution (OC) requests
Accounts Receivable & Daily Transactions
- Monitor incoming payments and assist with accounts receivable tracking
- Process daily bank deposits and ensure accurate posting
- Support tenant ledger accuracy when financial issues arise
- Occasionally communicate with tenants regarding account balances or charges
Owner & Internal Communication
- Monitor and manage the accounting email inbox
- Respond to owner inquiries regarding statements, charges, and financial activity
- Coordinate with internal teams to resolve account discrepancies
- Occasionally assist with sending owner statements following sweeps
Reconciliation & Financial Support
- Assist with credit card and bank reconciliations
- Support month-end processes, reporting, and financial audits
- Maintain organized and accurate financial logs and documentation
- Assist with year-end processes, including 1099 preparation and tax support
Additional Responsibilities
- Assist with other company related items and documentation as needed
- Ensure all financial records are accurate, up-to-date, and properly documented
- Support ongoing improvements to accounting systems and workflows
Requirements
- Prior bookkeeping or accounting experience required
- Clean background check required
- Strong organizational skills and attention to detail
- Proficiency with accounting software and Microsoft Excel
- Strong written and verbal communication skills
- Strong 10-key typing skills for efficient and accurate data entry
Preferred Qualifications
- Experience in property management accounting
- Familiarity with Buildium (strongly preferred)
- Knowledge of North Carolina landlord/tenant accounting practices
- Experience with payroll processing and basic tax preparation
