Job Posting: Payroll Administrator

Renascent Inc. is a demolition and construction services company looking for a Payroll Adminstrator for our Indianapolis IN location. We provide structural and interior demolition services, site preparation, and comprehensive recycling services, including processes to generate reusable construction materials.

Summary:

Join our dynamic accounting team as a Payroll Administrator and play a pivotal role in managing our payroll processes. Key Responsibilities:

Union & Multi-State Payroll Administration

  • Process weekly payroll for union and non-union employees across multiple company operations and project locations.
  • Maintain working knowledge of collective bargaining agreements (CBAs) and ensure payroll is administered in accordance with union contract requirements.
  • Calculate and process union wages, fringes, deductions, vacation funds, supplemental unemployment benefits, and other contract-specific payroll requirements.
  • Prepare, reconcile, and submit union benefit contributions, pension contributions, health and welfare payments, training funds, and other applicable remittances.
  • Ensure accurate tracking and reporting of union classifications, craft codes, and work hours by project.
  • Assist with certified payroll reporting and prevailing wage compliance requirements for public works and government-funded projects.
  • Maintain compliance with Davis-Bacon Act, state prevailing wage laws, and project-specific labor requirements where applicable.
  • Coordinate payroll-related reporting and audits requested by union representatives, benefit funds, government agencies, and external auditors.
  • Review and verify employee time records, job costing allocations, and labor distributions for accuracy.
  • Maintain current knowledge of union contract changes, payroll regulations, wage determinations, and labor compliance requirements.

Multi-State Payroll Compliance

  • Process payroll for employees working across multiple states and jurisdictions.
  • Ensure proper state and local tax withholding, unemployment insurance reporting, and payroll tax compliance.
  • Track employee work locations and allocate wages according to applicable state tax requirements.
  • Coordinate payroll registration and compliance requirements for new states where projects are performed.
  • Assist with payroll tax filings, reconciliations, and reporting requirements across multiple jurisdictions.
  • Maintain compliance with state-specific wage and hour regulations, paid leave requirements, and payroll reporting obligations.
  • Must be familiar with
  • Maintain precise employee payroll records for union and non-union staff, updating data as necessary for accuracy.
  • Efficiently collect, review, and input timekeeping information for hourly employees, including overtime and shift differentials.
  • Calculate and process appropriate withholdings for federal, state, and local taxes, complying with current legislation.
  • Handle deductions for benefits, garnishments, and other withholdings in line with CBAs and company policies.
  • Utilize ComputerEase payroll software to enter data, generate payroll reports, and resolve any payroll-related issues.
  • Prepare and issue paychecks or direct deposit statements to employees.
  • Serve as a point of contact for payroll inquiries, working closely with managers and employees to resolve any discrepancies promptly.
  • Remain informed on updates to tax laws and amendments to union contracts, applying this knowledge to payroll processing.
  • Assist with payroll reporting for tax and regulatory purposes and participate in payroll audits as needed.

Qualifications:

  • A minimum of 2 years of experience in payroll administration, ideally within a unionized environment.
  • Proficiency in ComputerEase software or similar payroll processing systems.
  • A strong grasp of payroll fundamentals, tax regulations, and applicable deductions.
  • Knowledge of federal and state labor laws, including the Fair Labor Standards Act (FLSA).
  • Ability to independently conduct research on payroll setup in new states and for new unions.
  • Excellent organizational skills and a keen attention to detail.
  • Strong analytical, problem-solving, and communication abilities.
  • Ability to work autonomously and efficiently in a fast-paced setting.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel.

Preferred Qualifications:

  • A two-year degree in accounting or a related field.
  • Experience interpreting collective bargaining agreements.
  • A preference for routine work and completing tasks according to checklists.
