We are seeking a Payroll Specialist who can operate at a high level, manage complexity, and bring structure to a fast-moving, multi-entity environment.
Position Overview
The Payroll Specialist will oversee end-to-end payroll operations across approximately 60 entities, ensuring accuracy, compliance, and consistency at scale. This role requires strong technical expertise, attention to detail, and the ability to lead processes in a high-volume, multi-state environment.
Key Responsibilities
Lead, mentor, and develop payroll team members, holding a high bar for accuracy, timeliness, and service
Establish, maintain, and enforce payroll policies, procedures, and internal controls across all entities
Serve as the internal expert on payroll operations, including multi-state compliance, union pay structures, and healthcare-specific wage models
Oversee full-cycle payroll processing within ADP Workforce Now, across multiple pay groups, frequencies, and employee classifications
Ensure accurate processing of wages, bonuses, reimbursements, deductions, garnishments, PTO, and holiday pay
Manage payroll calendars, approvals, deadlines, and cutoff schedules to ensure seamless execution
Maintain compliance with federal, state, and local wage and hour laws, DOL regulations, payroll tax requirements, and union agreements
Oversee payroll tax registrations, filings, quarterly reporting, and multi-jurisdictional setups
Monitor employee classifications, overtime calculations, shift differentials, and compliance with break policies
Conduct audits, variance analysis, and payroll reconciliations to ensure data integrity across all locations
Develop reporting tools and dashboards to identify discrepancies, missing approvals, and compliance risks
Partner with Finance on general ledger integration, accruals, reconciliations, and month-end close
Collaborate with HR on onboarding, terminations, benefits, and timekeeping accuracy
Support labor analytics, budgeting, and workforce metrics (including healthcare staffing models such as PPD)
Drive process improvement initiatives, including automation, standardization, and system optimization
Support ADP configuration and partner with IT on integrations across payroll, HRIS, and accounting systems
Qualifications
Bachelor’s degree in Accounting, Finance, HR, or related field (or equivalent experience)
7 years of progressive payroll experience in multi-state, multi-entity environments
Experience leading or supervising payroll operations in high-volume settings
Strong working knowledge of wage and hour laws, DOL regulations, and payroll tax requirements
Proficiency in ADP Workforce Now or comparable enterprise payroll systems
Strong analytical mindset with the ability to identify issues and implement solutions
Excellent organizational, communication, and leadership skills
High attention to detail with the ability to perform under tight deadlines
Proven ability to maintain strict confidentiality
Preferred Experience
Union payroll and healthcare wage structures
Shift-based environments, per diem staffing, or complex pay models
CPP certification
Experience with GL mapping, payroll reconciliations, and financial reporting
Background in process improvement or system implementations
