We are currently seeking an Onboarding Specialist.
Job Responsibilities and Duties:
Serve as the primary point of contact for candidates after offer acceptance through start date.
Initiate, track, and manage all pre-employment requirements, including background checks and credential or license verification.
Communicate clear instructions, deadlines, and expectations to candidates regarding pre-hire requirements.
Proactively monitor progress and follow up to ensure timely completion of all pre-employment steps.
Prepare and distribute offer acceptance and onboarding documentation.
Ensure new hires complete all required onboarding forms and acknowledgments accurately and on time.
Coordinate I-9 completion and E-Verify in compliance with federal and state regulations.
Enter, verify, and maintain new hire information within HRIS systems.
Ensure all hiring and onboarding activities comply with company policies, labor laws, and regulatory requirements.
Maintain accurate, complete, and confidential employee records.
Track onboarding metrics such as time-to-start, completion rates, and onboarding-related issues.
Provide prompt and professional responses to new hire questions and escalate issues when appropriate.
Maintain consistent communication with Recruiters, Regional HR teams, and facility HR staff.
Support audits, reporting, and continuous process improvement initiatives related to onboarding.
Perform additional duties as assigned in support of Recruiting and Human Resources teams.
Requirements:
Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent experience preferred.
Experience in recruiting coordination, onboarding, or HR administration preferred.
Familiarity with background checks, credential verification, I-9, and E-Verify processes.
Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
Excellent organizational, communication, and follow-up skills.
Ability to handle sensitive and confidential information with professionalism and discretion.
Proficiency with HRIS systems and Microsoft Office applications.
Collaborative mindset with the ability to work effectively across teams and locations.
