Summary
The Procurement Coordinator is responsible for procuring products to support the day-to-day operations of our business. This position provides general administrative support to the HVAC Service and Installation technicians and teams. To include but not limited to, preparing quote requests, assisting in product selection, tracking orders from inception to installation, purchasing requested goods, answering service calls and entering orders into our software systems. This role is required to effectively collaborate with technicians and department managers on a daily basis, supporting and prioritizing orders and deliveries based on the urgency of the parts needed. You will also work closely with our Dispatch team to ensure that they are up to date on the progress of jobs waiting on parts.
Essential Functions
- Procure accurate equipment requirements from the sales team and order equipment for all installations and locations.
- Ensure purchase orders (“POs”) are created accurately in Service Titan, including selecting correct equipment, updating price variances based on vendor portal pricing and updating POs that require substitutions due to lack of availability.
- Partner with the sales team to modify and correct equipment orders.
- Verify equipment pricing, orders and availability for present day installs. Communicate delays to managers and sales team.
- Track and oversee the delivery of equipment and proper closure of POs.
- Produce accurate PO activity and Inventory reports from Service Titan for department managers.
- Monitor inventory levels and coordinate with the warehouse team to maintain optimal stock levels.
- Provide detailed material lists to Parts Runner and confirm successful completion of their deliveries.
- Review and verify incoming equipment deliveries for accuracy.
- Conduct regular inventory audits and reconcile discrepancies.
- Confirm all materials are accurately provided for each job.
- Support Install Managers/Director and others across the organization as needed.
- Other duties as required.
Qualifications
- High school diploma or GED required.
- 2 – 3 years of experience in inventory ordering/procurement coordination
- General knowledge of HVAC systems, tools, material, and equipment
- Demonstrated ability to serve as a liaison between skilled technicians, management, and other departments within the company.
- Ability to negotiate prices for goods and services with vendors and contractors is a plus.
- Proficiency in MS Office with an emphasis on Excel; Field Management system experience a plus (preferably Service Titan)
- Excellent verbal and written communication along with customer service skills
- Ability to multi-task with little to no supervision A can-do attitude with a high degree of integrity, sense of urgency and attention to detail
- Strong problem solving and analytical skills are required.
