ROLE OVERVIEW The Operations Administrator at Relay Fire & Safety will play a key role in ensuring smooth office operations. The role requires an individual who has organizational skills, adaptability, and a service-oriented mindset. The Operations Administrator serves as the central individual handling day-to-day office operations and ensuring efficiency. WHAT YOU WILL BE DOING
Coordinate office activities and operations while providing clerical and administrativesupport to management.
Assists clerical and support staff with their assigned duties, particularly when moreadvanced, skilled, or sensitive work is required.
Manage emails, letters, packages, phone calls and other forms of correspondence.
Track and replace office supplies as necessary to avoid interruptions in standard frontoffice procedures.
Ensure the office is in acceptable and maintained condition
Support purchasing department in office site vendor management
Work with managers on tracking payroll and submitting it on time
Preparing prevailing wage report and submit it on time.
Ensure new jobs have proper PW sheets.
Creating daily invoices for the billing team and update required software systems
Ensure customer contact information and contracts are up to date in Service Trade.
Enter all new jobs accurately to ensure a seamless transition to our account software.
Work with accounting team on any billing issues and facilitate to the correct branchmanager if help is needed.
Make sure all job documents or contracts are uploaded to Service trade whether at thejob or customer level.
Assist with AP process of allocating invoices to open jobs and providing job codes toassociate the invoice to accounting software.
Maintenance of office records and records pertaining to assigned duties
Assist colleagues whenever there is an opportunity to do so
QUALIFICATIONS
Minimum of 2 years’ working experience in an office environment, handling multipletasks and deadlines.
Highly organized
Strong writing skills
Ability to be flexible and easily adapt to changing conditions.
Ability to work well in high pressure situations to meet deadlines.
Results oriented.
Ability to multi-task and manage numerous simultaneous priorities.
High energy, high ownership of work product and dedication and commitment toaccuracy.
High degree of proficiency with Microsoft Office Suite.
Fluency in the English language
Valid Driver’s license.
