ASSISTANT MANAGER/ LEASING
Immediate Supervisor: Community Director
The Assistant Manager plays a key role in supporting the overall success of the community by assisting with leasing, collections, and daily operations. This position ensures the property runs efficiently, meets financial goals, and provides exceptional customer service to residents and prospects. The Assistant Manager supports the Community Director in overseeing office operations, resident relations, leasing performance, and administrative functions to maintain a high standard of excellence consistent with REEP Residential’s values.
Primary Responsibilities
I. Personnel
- Serve as acting Community Director in the absence of the Property Manager.
- Assist with interviewing, screening, hiring, and training new team members for all property positions.
- Support the orientation, onboarding, and scheduling of office personnel to ensure efficient operations and alignment with company policies.
II. Administrative
- Assist with financial reporting, including posting rents, collecting delinquent accounts, filing evictions, and processing lease renewals.
- Manage Accounts Receivable, Accounts Payable, and budget tracking under the direction of the Community Director.
- Generate ideas to drive leasing traffic, improve occupancy, and enhance resident retention.
- Balance all resident ledgers, reconcile reports, and make daily bank deposits.
- Verify the status of vacant units, ensure they are ready for move-in, and inspect all pre-leased apartments prior to the scheduled move-in date.
- Perform other administrative duties as assigned to support smooth property operations.
III. Leasing Responsibilities
- Actively participate in leasing efforts by greeting prospective residents, conducting property tours, and showcasing available units.
- Respond promptly to phone, email, and online inquiries while maintaining a friendly and professional demeanor.
- Accurately process rental applications, verify qualifications, and ensure compliance with Fair Housing and company policies.
- Prepare and execute lease agreements, renewals, and all related documentation with accuracy and attention to detail.
- Maintain up-to-date knowledge of current market conditions, pricing, and competitor offerings to support leasing strategies.
- Track leasing performance and occupancy trends, making recommendations to improve conversion and retention.
- Assist with marketing initiatives, including resident events, social media updates, and promotional campaigns to attract and retain residents.
- Deliver exceptional customer service by following up with prospects, new residents, and renewal candidates in a timely manner.
IV. Maintenance Coordination
- Ensure prompt, courteous, and efficient response to all resident service requests.
- Communicate work orders to the maintenance team and follow up with residents to confirm satisfaction.
- Maintain property appearance by monitoring curb appeal and assisting with light property inspections.
- Report maintenance or safety concerns promptly to the Community Director or maintenance supervisor.
V. Physical Demands
This position requires the ability to perform office and on-site tasks, including:
- Prolonged periods of sitting, standing, or walking throughout the property.
- Occasionally lifting or moving up to 25 pounds.
- Regular use of computers, phones, and standard office equipment.
- Conducting property tours that may include walking stairs, uneven surfaces, and outdoor conditions.

Qualifications:

- Minimum 2–3 years of experience in property management, leasing, or a related field.
- Proven experience in leasing, renewals, and resident retention within a multifamily property setting.
- Knowledge of Fair Housing laws, lease agreements, and resident relations best practices.
- Strong financial acumen with experience in rent collection, ledgers, and budget management.
- Excellent communication, customer service, and organizational skills.
- Ability to handle sensitive information with professionalism and discretion.
- Strong computer skills; experience with property management software (e.g., Yardi, RealPage, or similar) preferred.
- Must be detail-oriented, self-motivated, and able to manage multiple priorities effectively.
- Availability for periodic weekend or evening work for leasing or community events.
- High school diploma or equivalent required; college coursework or CAM certification preferred.
