Position Summary
The Construction Project Administrator is responsible for managing and executing all closeout activities required to finalize construction projects. This role ensures that all documentation, deliverables, warranties, punch-list items, financials, and turnover materials are completed accurately, on time, and in compliance with contract requirements. The PA collaborates closely with project managers, subcontractors, clients, inspectors, and internal teams to ensure a smooth transition from construction to occupancy and long-term facility operation.
Responsibilities:
- Develop Closeout Strategy - Review closeout strategy with project team to identify all closeout requirements in contract documents. Focus on managing and overseeing the entire process of wrapping up the project, ensuring all elements are completed on time, within budget, and to the client’s satisfaction. This responsibility includes coordinating between different teams, stakeholders, and clients while ensuring all deliverables are met and the project reaches successful completion.
- Document Management- Critical role in the Closeout process is managing the final documentation and ensuring all necessary documents are properly completed, organized and handed over. Document management during the closeout phase is a key responsibility to ensure that the project is fully compliant with legal, contractual, and client requirements.
- Turnover Deliverables- Oversee the Closeout phase of a project, the role primarily involves ensuring that the project is completed, delivered, and handed over to the client in accordance with the contract terms, specifications, and quality standards. The Turnover Deliverables refer to all the necessary documentation, systems, and final components required to officially transfer the project from construction to operational status.
- Project and Financials - Responsibilities will encompass ensuring that the project is completed to the highest standards, with all contractual, operational, and financial obligations met. The aim is to finalize all activities associated with the project and transition it into a finished, operational state while ensuring that all financial aspects are settled correctly.
- Works hand in hand with Cost Controls to finalize financials. Completes AIA documents required for contract closeouts
- Warranty Support - Oversee the final stages of a construction project, ensuring a seamless transition from active construction to project closeout and warranty management.
- Continuous Improvement: Aim to streamline processes and enhance the overall quality of project closeouts through continuous improvement practices.
Technical Skills
- Strong knowledge of construction processes, documentation standards, and contract language.
- Proficiency with construction management software (e.g., Procore, PlanGrid, CMiC).
- Ability to read and interpret plans, specifications, and submittals.
- APM or Project Manager experience desired.
- Strong foundation of budget / financial knowledge.
