About the Role
I am seeking a highly organized and proactive Executive Assistant to support me as an Artist Manager and Creative Executive across a variety of projects in the Entertainment, Fashion and Brand space. This role requires a professional who excels at managing multiple priorities, handling sensitive information with discretion, and ensuring seamless day-to-day operations for executives.
Key Responsibilities
- Manage executive calendars, appointments, and travel arrangements (domestic & international).
- Act as the primary point of contact between executives and internal/external partners.
- Prepare, review, and edit correspondence, reports, presentations, and meeting materials.
- Update and maintain key materials and files across projects
- Coordinate board meetings, executive offsites, and company events.
- Screen and prioritize emails, calls, and meeting requests.
- Track deadlines, follow-ups, and deliverables to ensure projects move forward on time
- Assist with personal tasks or errands as needed and coordinate with executive’s personal assistant.
- Direct and escalate information and issues in line with Executive’s preference and business structure
- Maintain a high level of confidentiality with sensitive company and personal information.
Qualifications
- Bachelor’s degree or equivalent experience preferred
- 3 years of experience supporting senior-level executives (C-suite experience a plus; Entertainment Industry experience a plus)
- Excellent organizational, time management, and problem-solving skills
Strong written and verbal communication abilities - High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Slack, Zoom, Google Workspace, etc.), Asana, basic graphic design skills are a plus
- Basic understanding of contracts with the ability to communicate deal points to legal counsel is a plus
- Proven ability to work independently with minimal supervision
- Discretion and professionalism when handling confidential information
