Overview:

The Procurement Specialist is an essential member of the Procurement team, contributing significantly to the smooth execution of the bidding and contracting processes. This role involves a diverse array of responsibilities, primarily focusing on collecting competitive pricing from various trade partners for a range of innovative plans and options that align with the assigned categories. In addition to negotiating and comparing prices, the Specialist is responsible for providing comprehensive administrative support, vital for maintaining the operational excellence of the Procurement department. This includes meticulously organizing documents, ensuring that all project timelines are diligently tracked, and executing various tasks designed to improve the overall efficiency and effectiveness of the team. Through these efforts, the Procurement Specialist helps to streamline workflows and supports the successful achievement of the department’s goals, ultimately contributing to the organization’s success.


Role Responsibilities:


· Engage in clear and constructive communication with construction field supervisors, vendors, subcontractors, internal team members, and management. This role involves actively facilitating the flow of information among all parties, ensuring that inquiries are thoroughly researched and promptly addressed to support project success and collaboration.


· Handle and resolve any discrepancies or issues related to invoices and purchase orders with our vendors and trade partners, specifically focusing on the categories assigned to them. This includes ensuring accurate billing, clarifying any misunderstandings, and maintaining effective communication to foster positive relationships.


· Oversee and manage the pricing and bid submissions from vendors, suppliers, and trade partners within the purchasing system, ensuring accuracy and relevance to the specific categories assigned to their responsibilities. This includes regularly updating and maintaining pricing information to reflect current market conditions and negotiating bids to secure the best value for the organization.


· Oversee and maintain comprehensive records of vendors, suppliers, and trade partners, including detailed management of their contracts and insurance documentation. Additionally, compile and organize critical pricing and service information required for accurate construction budgeting relevant to their designated categories.


· Managing and processing change orders while gathering and preparing detailed, lot-specific information for project initiations within their designated categories.


·  Ensure that all documents related to the start package are uploaded to BuildPro/SupplyPro before commencing work on each job. This step is essential for maintaining an organized workflow and ensuring that all necessary materials are available for the project.


· Integrate the new jobs into the Brix system so that the Procurement team can thoroughly evaluate and analyze the costs associated with each project before work begins. This ensures informed decision-making and effective budget management right from the start.


· Release each job in the purchasing system exactly as per the established schedule. It's important to adhere to the timeline to ensure smooth operations and maintain workflow efficiency.


·  Support the Procurement Team by assisting with various special projects as needed, helping to enhance efficiency and drive successful outcomes in their initiatives.




Required Skills & Qualifications:


·        Eager to learn about purchasing and the homebuilding industry, with experience in on-the-job

training.

·        Able to organize and articulate ideas clearly and concisely.

·        Proven ability to manage multiple tasks in a professional setting with competing priorities.

·        Creative problem solver.

·        Comfortable communicating with new people and gathering essential information from various sources.

·        Capable of forward thinking that benefits the organization.

·        Efficient and effective in follow-up and organizational skills to meet and exceed deadlines.

·        Proven ability to take initiative and complete tasks independently without needing repeated prompts.

·        Positive and enthusiastic attitude with a strong work ethic.

·        I am skilled in analyzing information to identify discrepancies and inconsistencies.

·        Able to plan and prioritize while maintaining attention to detail and effective time management.

·        Collaborative, with the ability to work with trade partners and employees across multiple departments.

·        Understanding basic construction, purchasing, and/or insurance terminology is a plus, but not required.

·        Demonstrates curiosity and a strong desire to learn and grow with a company focused on future development.

·        Proficient in MS Office (Outlook, Excel, Word) with basic computer knowledge; experience with Brix or other database systems is preferred.

·        Quickly adapts to new software.

·        Other special tasks and projects
