Position Overview
Stonebridge Ranch is a large-scale, master-planned community with a high standard of operational excellence and governance oversight. The Assistant Community Association Manager (ACAM) plays a critical role in supporting executive and operational leadership by ensuring administrative execution, financial workflow accuracy, and governance follow-through are handled with precision and accountability.
This is not a clerical or entry-level position. The ACAM is expected to operate with sound judgment, strong organizational discipline, and the ability to anticipate needs in a fast-paced environment. The role requires independent execution, proactive follow-through, and consistent professionalism in support of the Assistant General Manager and General Manager.
While the position is primarily administrative and operational in scope, limited front desk coverage is required to ensure continuity of service during scheduled breaks or unexpected absences.

Key Responsibilities
Operational & Administrative Management
- Manage day-to-day administrative operations and communications in a fast-paced onsite management environment.
- Serve as a professional point of contact for homeowners regarding policies, procedures, and HOA-related matters; escalate issues to the AGM when appropriate.
- Coordinate Accounts Receivable administrative workflows, including ownership transfers, lease registrations, account updates, and related documentation.
- Coordinate Accounts Payable administrative processes, including invoice intake, electronic filing, vendor onboarding (W-9s, COIs), and submission for AGM review and approval.
- Process and deposit payments in accordance with established internal financial controls.
- Maintain accurate and organized homeowner files, contact lists, account records, and digital documentation across all management platforms.
- Maintain security binders, governance records, and file retention systems in an organized and audit-ready condition.
- Ensure the homeowner portal is updated with monthly financials, annual documents, policies, and required communications.

- Prepare and organize materials for monthly Board meetings following established procedures.
- Support Annual Meeting preparation, registration logistics, and documentation updates.
- Track and monitor action items arising from Board meetings, ensuring timely follow-through and coordination with department leads.
- In collaboration with the AGM, maintain and update official Association records, including policies, resolutions, and governance documentation.
- Plus other work-related duties as needed
- Act as administrative liaison between homeowners, vendors, Accounts Receivable, and Collections when structured coordination or follow-up is required.
- Ensure inquiries are researched, addressed professionally, and documented through resolution.
- Generate administrative and project tracking reports as requested.
- Support cross-department initiatives and special projects as assigned by the AGM.
- Attend meetings as requested by the AGM or Board of Directors.
- Provide limited front desk coverage as needed.

- Demonstrate strong judgment, attention to detail, and the ability to anticipate operational needs.
- Maintain confidentiality of resident and Association financial information at all times.
- Operate independently within established parameters while maintaining consistent communication with the AGM.
