Typical Schedule: Monday through Friday 8:30 AM – 4:30 PM (one-hour lunch break)

Role Summary
The Accounting Assistant is responsible for recording and maintaining financial transactions for the community, ensuring accuracy, timeliness, and compliance with established policies.

The Accounting Assistant is responsible for recording and maintaining financial transactions for the community, ensuring accuracy, timeliness, and compliance with established policies.
Accounts Payable (A/P):
- Review all expenses and obtain appropriate approvals.
- Record expenses using correct GL codes.
- Process payments from the correct bank account (operating or reserve) in a timely manner to avoid late fees.
- Approve invoices in an online workflow portal for accuracy and transparency
- Review invoices for accuracy based on service or contracted terms.
Accounts Receivable (A/R):
- Review Owner Ledgers as needed, specifically payments for maintenance assessments, special assessments, fines, and other charges.
- Post payments online on owners accounts or use of check scanner for bulk checks received onsite.
- Create Deposit reports for the appropriate bank accounts when payments are received onsite.
- Create credit card reports for reconciliation for payments made onsite on credit card terminal
Assessments, Special Assessments, and Fines:
- Assist with monitoring balances due and conducting collection activities in line with the collection policy.
- Ensure all billable fees are properly invoiced monthly.
Delinquent Accounts:
- Provide monthly reports to the General Manager and Board on delinquent accounts.
- Flag delinquent accounts for suspension of rights as appropriate.
- Communicate with collections attorney on owner account statuses and releases
Architectural Control Committee:
- Record all ACC payments received from the Compliance Department.
- Post deposits to property owner accounts using the appropriate GL code.
- Monitor deposits to ensure funds are returned upon project completion or transferred to the correct GL if retained, once projects are approved by the compliance department.
Reports & Support:
- Assist the Financial Manager in preparing monthly balance sheets and financial statements.
- Generate additional reports as requested by the Financial Manager or Board.

Qualifications:- 1–5 years of bookkeeping or accounting experience, or a degree in accounting/business.
- Experience in property management or the condominium industry preferred.
- Proficiency with accounting software (hands-on experience a plus).
- Strong computer skills, including Excel.
- Solid understanding of accounting principles and methods (accrual, cash, modified cash).
- Strong organizational and prioritization skills.
- Excellent written and verbal communication skills.
- Ability to work efficiently in a fast-paced, dynamic environment.
- Consistent adherence to standard operating procedures and deadlines.
- Bilingual (English/Spanish or French) strongly preferred.
