Purpose
The Shipping Coordinator is responsible for coordinating daily shipping activities in a fast-paced environment while ensuring orders are processed accurately and on time. This role requires quick response times, strong attention to detail, and the ability to prioritize multiple tasks. The ideal candidate must be comfortable managing high volume of emails and communicating effectively with customers, carriers, and internal teams.
Strong computer skills are essential along with responding promptly to requests. This position requires someone who can stay organized, work well under pressure, and keep operations moving efficiently.
Areas of Responsibility / Tasks
Performance must reflect appropriate level of expertise and achievement of the desired results for the items listed below:
- Participate in completion of ‘CAR’ reports and submitting processing information when problem issues occur with damaged product, lost product or other issues as assigned.
- Direct inbound deliveries and outbound shipments to the appropriate loading dock and/or building.
- Filing, answer phones, tend to shipping office window, assist drivers with check-in, document shredding/disposal, and other clerical duties.
- Order accuracy; check all math, customer notes, process shipping orders, pick tickets, and bill of ladings; Print all associated documents, and check for accuracy.
- Generate labels using Labelview software for relabels, small repack work orders, sales orders.
- Physically verify and communicate to the traffic department all orders that were not shipped on their scheduled ship date.
- Advance order status for orders with associated repacks and relabels.
- Schedule all FedEx Express/Ground and UPS shipments.
- Assist warehouse with order correction and other order-related inquiries, etc.
- Send all warehouse generated paperwork/tallies to inventory.
- Complete material movements in Dynamics.
- Generate and distribute Transfers when requested.
- Maintain and organize SDS sheets for inventoried product.
- Communicate to warehouse team when to scale non-bulk shipments when required.
- Uphold the Ravago Code of Conduct standards.
- Other duties as assigned by the Warehouse Manager.
Experience:
- 2 years of experience in a similar role including supervisory experience.
- Ability to effectively communicate with all levels of the organization.
- Experience with inventory control procedures.
- Ability to read and comprehend simple instructions, short correspondence, and memos.
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
- Ability to deal with problems involving a few concrete variables in standardized situations.
- To perform this job successfully, an individual should have knowledge of Internet software; Inventory software; Microsoft Excel, Word, and PowerPoint.
- Must be comfortable working in a shared space, with constant noise, with/or without the use of a private office.
- Must be comfortable working in a non-climate controlled environment.
- Schedules may vary from week to week based on business demands in excess of 40 hours with or without notice.
