The Service Administration Assistant (SAA) / Dispatch Specialist works as part of the Service Administration team out of our Rolling Meadows, IL office. The SAA serves as a cross-process support between customers, service administration, and regional technical manager, overseeing service calls.
Key Responsibilities
- Managing installations and commissioning by dispatching work orders
- Dispatch Regional Service Partners (RSPs), who accept/reject the dispatch in a portal, and then follow-up is done via phone
- Following up with the Regional Service Partners on current order status
- Professionally communicate service status with customers
- Log all dispatch data and resolutions in Salesforce
- Create quotations for service work in real-time and submit to customers for review
- Review, verify and update assets and parts warranty status and determine business scenario and accounting type based on guidelines
- Must be able to work in office 5 days a week in Rolling Meadows, IL office
- Associate’s/Bachelor’s degree from college or university in Business or related field; or equivalent combination of education and 1-3 years of relevant experience
- Experience with data management, contracts and Salesforce is a plus
- Ability to speak to different levels of people within RATIONAL
- Precise, detail-oriented, with ability to analyze data
- Willingness to assist customers, ability to see the challenges they face, manage, build, and maintain those relationships
- Working knowledge of office automation tools such as E-mail, WWW, Windows, Microsoft Office Suite
- Must be proficient with Microsoft Excel and be able to perform basic functions like VLOOKUP
- Typical day is 80% data entry and 20% on the phone
