Position Summary:
This is a temporary, part-time professional position providing high-level executive support to the Commissioner and Chief Executive Officer of the Rapides Area Planning Commission.
The Executive Planning Assistant will manage a wide range of administrative and planning support functions, serving as the primary point of contact for internal staff, partner agencies, elected officials, and the public. Responsibilities include coordination of daily schedules and meetings, handling phone calls and correspondence, assisting with reports and presentations, and managing the flow of information between the Commissioner/CEO and stakeholders. The role also involves responsibilities as Custodian of Records, assisting with the receipt and response to public records requests in compliance with Louisiana law.
Responsibilities:
- Manage the Commissioner/CEO’s calendar, schedule, and meeting logistics. * Coordinate internal and external meetings, including preparing agendas, materials, and follow-ups.
- Screen, prioritize, and respond to phone calls, emails, and correspondence on behalf of the Commissioner/CEO.
- Draft, edit, and format reports, presentations, and official communications.
- Support board/committee meetings with preparation of minutes, packets, and records.
- Assist with travel arrangements and reimbursements.
- Maintain accurate filing systems (both digital and physical) for executive records.
- Act as liaison with staff, government agencies, consultants, and the public.
- Assist the Custodian of Records with public records requests, ensuring timely and compliant responses.
- Track tasks, deadlines, and follow-ups to support efficient project and program management.
- Perform other duties as assigned to support RAPC’s mission.
Requirements:
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and oral communication skills.
- Professional discretion when handling sensitive and confidential matters.
- Proficiency with Microsoft Office Suite and Adobe Acrobat; additional training on agency software will be provided.
- Reliability, initiative, and a positive, interactive personality.
- Experience in local government, planning, or public administration is a plus.
