Administrative Assistant (Oilfield)
Full-Time | On-Site | Andrews, TX | Monday-Friday, 8:00 AM-5:00 PM | $18-$20/hr
We’re looking for a bilingual, detail-oriented Administrative Assistant to support accounts payable, HR documentation, onboarding, compliance records, front desk coverage, and daily office operations in a fast-paced oilfield environment. What You’ll Do
- Process vendor invoices, match POs, verify coding, and support weekly AP runs
- Assist with onboarding, I‑9/E‑Verify, new‑hire packets, and HR file compliance
- Maintain confidential employee records per TX/NM and federal guidelines
- Track safety training, certifications, and required documentation
- Support payroll prep by gathering timesheets and verifying hours
· Handle front desk coverage, phones, visitors, data entry, filing, and general office coordination
· Maintain calendars, schedule appointments, and assist with travel or special projects as needed
- Communicate with field supervisors to ensure documentation stays clean and current
Qualifications
- 1 years administrative experience in oilfield, construction, or industrial settings
· Strong accounts payable background and working knowledge of HR documentation and compliance
- High attention to detail, confidentiality, and follow‑through
· Proficiency with Microsoft Office, email/calendar tools, and basic accounting systems; QuickBooks experience is a plus
- Clear, professional communication with both office staff and field crews
· Professional phone etiquette and strong customer-service skills
Preferred Qualifications
- Experience with QuickBooks or similar accounting platforms
- Familiarity with TXRRC/NMOCD documentation or DOT files
Requirements
- Ability to lift up to 25 lbs. and move between office/yard environments
- · Bilingual (English/Spanish) required
- Must pass pre‑employment and ongoing drug/alcohol testing
- May be designated safety‑sensitive under TX/NM guidelines
- Regular, reliable attendance is essential
- Position is at‑will under Texas and New Mexico law
