Overview
- The Document Control Analyst (Junior) provides document management support to the project team.
- This role administers the project SharePoint site, ensures proper naming, storage, and control of project documents and records, and manages documentation through closeout.
- Develop, maintain, and execute the Information Management Plan.
- Collaborate with the U.S. SharePoint Administrator to create project-specific SharePoint sites and establish access/security settings for contractors and internal teams.
- Review and update Contractor Document Control Requirements to align with project contracts.
- Create and maintain transmittal logs, distribution matrices, and master document registers.
- Set up, monitor, and coordinate field document control processes.
- Establish document repositories, metadata structure, and permission settings.
- Track document submissions, revisions, approvals, and distribution.
- Manage document naming and numbering according to requirements.
- Control sensitive, restricted, and regulated information.
- Distribute documents per the approved distribution matrix.
- Use the master document register to track deliverables and identify missing information.
- File documents according to document control and records management standards.
- Track receipt of records and report record status to management.
- Coordinate with project managers, engineers, field clerks, and contractors to resolve discrepancies in deliverables.
- Partner with the Retention Specialist to prepare hardcopy records for storage per company policy.
- Support the Project Turnover Memorandum process.
- Remove electronic transitory information where applicable.
- Manage all documentation related to project closeout.
- Maintain records in project deliverable tracking tools.
- Perform other project-related tasks as assigned.
- Post-Secondary Education (Degree)
- Minimum of 4 years of document control or related experience.
