Duties

- Manage multi-line phone systems to answer inquiries promptly and direct calls efficiently
- Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems, including digital and physical documents, ensuring easy retrieval
- Assist with appointment scheduling and calendar management for staff or professionals within the organization
- Support office management activities by coordinating supplies, proofreading documents, and managing correspondence
- Provide customer support by addressing inquiries, providing information, and resolving issues with excellent phone etiquette
- Perform clerical tasks such as copying, scanning, proofreading documents, and maintaining office cleanliness
Requirements
- Proven experience in office administration or front desk roles, preferably in medical or dental reception settings
- Hotel frontdesk experience
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry software
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional customer service skills combined with professional phone etiquette and bilingual abilities (if applicable)
- Technical proficiency in managing multi-line phone systems and basic bookkeeping using QuickBooks or similar software
- Prior experience with office management tasks such as calendar management, filing systems, and proofreading documents
- Demonstrated ability to handle sensitive information discreetly while maintaining high productivity levels
- Knowledge of medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is beneficial
