Job Summary
We are seeking an energetic and detail-oriented Front Desk Receptionist / Maintenance professional to join our dynamic team. In this multifaceted role, you will serve as the first point of contact for visitors and clients, managing front desk operations with professionalism and warmth. Additionally, you will handle basic maintenance tasks to ensure the facility remains safe, clean, and well-maintained. This position offers a fantastic opportunity to contribute to a positive office environment while utilizing your organizational and customer service skills. All applicants will be paid for their work, including internships.
Duties
- Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring a positive first impression
- Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
- Handle front desk responsibilities such as check-ins, appointment scheduling, and providing information about the organization
- Perform basic maintenance tasks including light repairs, troubleshooting issues, and coordinating with vendors for more complex repairs
- Maintain cleanliness and organization of common areas, including filing documents, organizing supplies, and ensuring the workspace is welcoming
- Use office management software such as QuickBooks for bookkeeping and data entry purposes
- Support administrative functions like calendar management, proofreading documents, and managing correspondence using Microsoft Office and Google Workspace tools
Skills
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Previous office experience or clerical experience demonstrating attention to detail and accuracy in data entry and filing
- Exceptional customer service skills with a professional phone manner and strong phone etiquette
- Bilingual abilities are highly desirable to assist diverse client needs
- Knowledge of office management practices including calendar management and time management techniques
- Experience with bookkeeping or using QuickBooks is a plus for handling basic financial tasks
- Personal assistant or medical/dental receptionist experience is beneficial but not required
