Position Summary:
We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. This role plays a key part in supporting daily operations, ensuring exceptional service to our customers, and assisting in the coordination between departments. The ideal candidate will have a proactive attitude, strong communication skills, and the flexibility to work varying shifts, including nights, weekends, and holidays.
Key Responsibilities
- Participate in monthly regional sales calls (x5) with Executive Leadership Team
- Participate in Weekly Accounts Receivable Call
- LinenMaster - pulling data / reports / pricing / invoices from LinenMaster billing system as needed
- Participate in Weekly Integration Calls
- Corporate Inboxes and Voicemails - reply/forward emails sent to info@purestar.com, submissions via PureStar website, and voicemail on PureStar's phone line
- Complete and submit expense reports in Concur for Executive Team members
- Maintain Ops team and FL team travel schedules
- Order branded products as requested
- Order business cards for all locations/brands
- Maintain Facebook page for PureStar (including job postings when requested from HR)
- Create proposals and presentations for target hotels and management/ownership groups
- Maintain regional sales files including Pipeline, Upcoming Renewals, Upcoming Price Increases, New/Lost Accounts and Risks (biweekly/monthly pre-call with each region)
- Communicate Lost accounts to
Accounts Receivable Team - Prepare monthly Occupancy Report with projections from hotels (request from Customer Service)
- Utilize CRM platform and CoStar website to support sales
- Compile pricing and contract details for contract requests to send to Legal
- Provide customer contract copies to VPOs, Auditors, AR team, and other upon request
- Account List Mgmt - Enter and maintain key data and contract dates for all PureStar Accounts
- Pipeline - Utilize CoStar website to find/export properties in PureStar current and growth markets, including future construction
- Redesign new brands’ websites into PureStar template
- Add staff to relevant calls (Weekly Operating Review, Safety, etc)
- Organize in-person meetings, including meeting space, meals, A/V, hotel, and agenda (including Board Meetings, customer/vendor meetings, Mergers and Acquisitions meetings and others)
- Assist in planning annual company-wide meeting, including hotel, meetings, meals, activities, and all related communications
- Schedule internal and external calls
- Maintain and update online presence
Qualifications
- High School Diploma or Equivalent required.
- Minimum of three years of experience in office management, or administrative support roles, with a strong emphasis on coordinating day-to-day remote operations.
- Excellent interpersonal and verbal communication skills, with the ability to interact effectively across all levels of the organization.
- Strong organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
- High attention to detail and accuracy in managing records, documentation, and administrative processes.
- Proficient in office software (e.g., Microsoft Office Suite).
Physical Demands:
Primary work in an office/production environment
Ability to move within the workspace, sit for extended periods, and respond to verbal and written cues
Manual dexterity to operate standard office and production equipment
Ability to bend, reach, and lift up to 25 lbs
