Position Summary: 

We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. This role plays a key part in supporting daily operations, ensuring exceptional service to our customers, and assisting in the coordination between departments. The ideal candidate will have a proactive attitude, strong communication skills, and the flexibility to work varying shifts, including nights, weekends, and holidays.


Key Responsibilities

  • Assists the Director of Operations in the day-to-day operations and/or special projects.
  • Manages the talent acquisition process, which may include recruitment, interviewing, hiring, and onboarding of qualified job applicants—particularly for production, engineering, and driver roles—by collaborating with departmental managers to understand required skills and competencies.
  • Provides front-line customer service support to both internal and external customers by responding promptly, professionally, and courteously to inquiries, concerns, or requests.
  • Serves as a point of contact for customer service-related issues, escalating matters as needed to appropriate departments while ensuring timely resolution.
  • Monitors service levels and customer satisfaction, identifying opportunities for improvement and collaborating with relevant teams to enhance service delivery.
  • Supports plant operations through timely completion of required paperwork and/or reports.
  • Responsible for completing and submitting purchase requisitions.
  • Distributes proper PPE to employees as required by department guidelines.
  • Maintains all manifest/back-up and production documentation.
  • Performs general clerical and office duties, including but not limited to data entry, filing, scanning, photocopying, handling mail, managing office supplies, and maintaining organized workspaces.

Qualifications

  • Bachelor’s degree in business administration or a related field required.
  • Minimum of three years of experience in office management, human resources, or administrative support roles, with a strong emphasis on coordinating day-to-day office operations.
  • Proven experience in employee lifecycle management including hiring, onboarding, and training coordination.
  • Excellent interpersonal and verbal communication skills, with the ability to interact effectively across all levels of the organization.
  • Strong organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • High attention to detail and accuracy in managing records, documentation, and administrative processes.
  • Proficient in office software (e.g., Microsoft Office Suite) and comfortable working with HRIS or other administrative systems.

Physical Demands:

  • Primary work in an office/production environment

  • Ability to move within the workspace, sit for extended periods, and respond to verbal and written cues

  • Manual dexterity to operate standard office and production equipment

  • Ability to bend, reach, and lift up to 25 lbs

  • Full Time Hours
