- Manage multi-line phone systems efficiently, directing calls accurately and professionally.
- Handle all incoming correspondence, including emails, mail, and packages, with attention to detail.
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading.
- Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination.
- Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports and documents.
- Assist with clerical duties such as photocopying, faxing, inventory management, and maintaining office supplies.
- Provide customer support by addressing inquiries promptly and professionally while demonstrating excellent phone etiquette.
- Perform basic bookkeeping tasks using QuickBooks or similar accounting software when necessary.
- Manage office organization by overseeing filing systems, data entry accuracy, and timely document processing.
- Support administrative functions related to medical or dental reception duties if applicable.
Qualifications
- Proven office experience with strong clerical skills and familiarity with front desk operations.
- Excellent organizational skills with the ability to multitask efficiently in a busy environment.
- Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, and data entry tools.
- Strong communication skills with an emphasis on professional phone etiquette; bilingual abilities are a plus.
