Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with professionalism, utilizing proper phone etiquette to direct calls efficiently
- Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other office software
- Maintain organized filing systems and manage document proofreading to ensure accuracy and clarity
- Support office management tasks such as calendar management, appointment scheduling, and correspondence handling
- Assist with bookkeeping duties using QuickBooks or similar accounting tools when needed
- Provide customer support through effective communication, addressing inquiries both in person and over the phone
- Perform clerical duties including filing, photocopying, and maintaining office supplies inventory
- Support medical or dental receptionist responsibilities as applicable, including patient check-in and appointment coordination
Experience
- Previous office experience with a focus on administrative or clerical tasks is highly preferred
- Proven customer service experience demonstrating excellent interpersonal skills
- Familiarity with front desk operations in medical or dental settings is a plus
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software
- Experience managing multi-line phone systems and practicing professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Personal assistant or medical receptionist experience is advantageous but not required
- Knowledge of bookkeeping practices using QuickBooks or similar software is a plus
