Role Description
This full-time, on-site role is located in Covington, LA, and involves coordinating warehouse operations and purchasing processes. The Warehouse and Purchasing Coordinator is responsible for overseeing the daily flow of materials, equipment, and inventory in and out of the warehouse. This role ensures accurate receiving, storage, organization, and distribution of goods while maintaining safety, cleanliness, and efficiency, and assists with the purchasing process. The Warehouse and Purchasing Coordinator works closely with purchasing, project teams, vendors, and field staff to support operational needs and ensure the timely fulfillment of requests.
Key Warehouse Responsibilities
- Receive, inspect, and verify incoming shipments against purchase orders and delivery documents.
- Organize, label, and store materials, tools, and equipment in designated warehouse locations.
- Prepare, stage, and coordinate outbound shipments, deliveries, and pickups for projects and internal teams.
- Remove all garbage and dispose of it in the dumpster daily.
- Remove and dispose of all boxes and packing materials.
- Track the movement of materials and equipment to job sites, field teams, and vendors.
- Update and monitor tracking for all purchases and shipments.
- Execute and monitor Return Merchandise Authorizations (RMAs) as needed.
- Coordinate with purchasing and operations teams regarding shortages, damaged goods, backorders, and returns.
- Ensure the warehouse remains clean, organized, and compliant with safety standards.
- Operate warehouse equipment such as forklifts, pallet jacks, or carts in a safe and efficient manner, as applicable.
- Assist with loading and unloading trucks and securing materials for transport.
- Maintain documentation related to receipts, transfers, deliveries, and inventory transactions.
- Support process improvements that increase warehouse accuracy, efficiency, and accountability.

Key Purchasing Responsibilities
- Create purchase orders based on approved requests, project needs, and inventory requirements.
- Solicit pricing, compare vendor quotes, and support vendor selection based on cost, availability, and delivery timelines.
- Coordinate with internal teams to confirm material specifications, quantities, budgets, and required delivery dates.
- Track open purchase orders and follow up with vendors to ensure on-time order acknowledgment, shipment, and delivery.
- Maintain accurate purchasing records, vendor files, pricing history, and order documentation.
- Monitor backorders, shortages, substitutions, and delayed shipments and communicate updates to affected stakeholders.
- Generate box sale and service call quotes at the direction of the Purchasing and Finance Manager.
- Work closely with warehouse, operations, project management, and accounting teams to ensure smooth procurement and material flow.
- Assist in evaluating vendor performance related to pricing, responsiveness, quality, and delivery reliability.
Qualifications
- High school diploma or equivalent required; associate degree or related training preferred.
- 2 years of warehouse, inventory, logistics, or operations experience preferred.
- Experience with inventory systems, purchasing systems, shipping/receiving processes, and warehouse documentation.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and respond effectively to changing operational needs.
- Dependable follow-through and strong sense of ownership.
- Comfort working in a fast-paced, hands-on environment.
- Ability to coordinate effectively with internal departments and external vendors.
- Basic computer proficiency, including Microsoft Office, QuickBooks, and inventory tracking systems.
- Forklift certification or the ability to obtain certification is required.
- Strong communication and teamwork skills.
Preferred Skills and Competencies
- Knowledge of warehouse safety procedures and best practices.
- Ability to identify process improvement opportunities and implement practical solutions.
Working Conditions / Physical Requirements
This position may require standing, walking, bending, and lifting materials for extended periods. The Warehouse Coordinator may be required to lift and move items up to 50 pounds, work in varying warehouse conditions, and operate material handling equipment as needed.
