Providence Staffing is seeking an experienced Administrative Support / Project Information Specialist to support a fast-paced and mission-driven organization. This role is ideal for a highly organized professional with strong administrative, facilities management, records management, and audio-visual support experience.
Key Responsibilities:
• Manage conference rooms, training rooms, and business center operations
• Coordinate room scheduling, setup, and facilities support for meetings and events
• Provide on-site technical support and troubleshoot audio-visual equipment including microphones, monitors, presentations, and visual material access
• Create and edit presentations, videos, and other audio-visual content
• Maintain agency project report libraries, records management systems, and organizational documentation
• Assist with developing and implementing administrative policies and procedures
• Evaluate operational effectiveness and recommend process improvements
• Provide training and technical assistance to staff on systems and procedures
• Support office management, facilities coordination, HR support, and related administrative functions
• Manage multiple priorities while maintaining excellent customer service and professionalism
Qualifications:
• Minimum of 7 years of administrative management or related professional experience
• Experience with records and information management
• Experience managing project report libraries and organizational records
• Strong experience supporting conference rooms, board rooms, and AV systems
• Experience troubleshooting microphones, monitors, presentations, and related AV equipment
• Proficiency with IT systems, databases, Microsoft Office, and computerized platforms
• Strong organizational, analytical, and problem-solving skills
• Excellent written and verbal communication abilities
• Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment
• Experience with office operations, facilities management, HR support, or security operations preferred
• Physical ability to move files, file boxes, and event-related materials as needed
• Bachelor’s degree required in Business, Information Management, or related field and/or relevant certifications
