Job Title: Advancement Coordinator
Reports to: VP of Advancement
Status: Part-time
Evaluation: The Advancement Coordinator will be evaluated in accordance with provisions of the Board’s policy on evaluation of professional personnel and this job description.
POSITION SUMMARY
The Advancement Coordinator is a new strategic position at Providence Academy and is a part of the Advancement Team. This position is responsible for accurate reporting of all advancement events and fundraising activities for the school. The Advancement Coordinator will work with various departments within the school to record and track donations, including in-kind and non-charitable.
DUTIES & RESPONSIBILITIES
- Database management
- Data entry and reconciliation of various digital payment platforms (QGiv, PayPal, Venmo, MightyCause)
- Reconcile with QuickBooks Online and work with business office to reconcile monthly
- Donor acknowledgment / receipting
- Invoicing and pledge reminders
- Reporting / tracking donations from various sources, including accurate reporting of FMV and charitable donations
- GIK, Athletics, Musical Theater, Family/Student Life, etc
- Other advancement related duties as assigned by VP of Advancement
QUALIFICATIONS
Required Skills and Abilities:
- Ability to successfully collaborate with various teams and departments
- Proven data entry and database management skills
- Excellent organizational skills
Required Knowledge:
- Excellent knowledge and skill in policies and procedures for reporting charitable vs non-charitable donations.
- Knowledge in using Microsoft Office Suite, QuickBooks Online, Google, and CRM database system.
Preferred Education and Experience:
- Bachelor’s degree, preferably in an area related to accounting/finance, nonprofit management or comparable experience
LEADERSHIP
- Provide Christ-centered, Biblically-directed, spiritual leadership to school faculty and staff as well as to other stakeholders as the opportunity arises.
- Meet regularly as part of the administrative team
- Plan and organize strategies for keeping current with trends in college advisement and guidance
- Provide visionary leadership as part of the leadership team and motivate others to unite in pursuit of the school’s mission and highly successful outcomes in keeping with the Providence Portrait of a Graduate.
- Contribute toward an atmosphere of joyful service to Christ and others.
- Add How-To guide articles to the school's central digital drive on a monthly basis.
