What are the responsibilities and job description for the Workplace Planning Manager (Space Planning + Moves) position at PROVEN MANAGEMENT?
PROVEN is growing our workplace strategy, space planning, and relocation work. We are looking for a senior-level occupancy planning leader who loves connecting the dots between people, space, and business needs, then turning that into clear plans, clean drawings, and smooth moves.
This is a hands-on, client-facing role for someone who can lead planning efforts, manage multiple stakeholders, and confidently present recommendations to leadership.
What you will do
Occupancy planning workplace strategy
- Lead space planning and occupancy planning efforts across one or more client portfolios, balancing strategic planning with daily execution.
- Develop planning scenarios, adjacency strategies, and real estate/space utilization recommendations using qualitative quantitative inputs.
- Track, report, and maintain space allocations, headcount, and seating plans using CAFM and planning tools (Serraview, Archibus, or similar).
Relocation strategy move coordination
- Create and review relocation strategies (single-site through large multi-site initiatives) and partner with move management, IT, vendors, and internal teams to execute.
- Act as the primary point of coordination between end users and service groups (IT, PC support, movers, installers, building ops).
CAD documentation
- Maintain accurate as-builts, test fits, and space allocation drawings in AutoCAD (and/or Revit), and keep planning documentation client-ready.
- Support standards for drawing quality, naming conventions, and CAFM readiness (including large-scale drawing uploads and space database management).
Project leadership
- Own scope, schedule, and budget elements for planning and small construction/restack projects.
- Lead meetings, drive decisions, and present complex recommendations to client leadership in a clear, confident way.
- Manage vendors for on-site work, coordinate pricing, and support purchasing workflows as needed.
- Furniture inventory
- Support furniture standards, manage inventory visibility, and develop specs/packs that align to real constraints (budget, availability, reuse).
What success looks like (first 90–180 days)
- Clients trust you as the steady, organized “quarterback” for occupancy planning and restacks.
- Space data is accurate, drawings are clean, and planning scenarios are easy to understand and act on.
- Relocations run smoothly because stakeholders stay aligned and risks are handled early.
Required experience and strengths
- 7 years in occupancy planning, workplace strategy, facilities planning, interiors project delivery, or portfolio space management.
- Strong AutoCAD skills (test fits, as-builts, space allocation drawings).
- Proven ability to build and present planning recommendations for business leaders.
- Strong project organization: juggling deadlines, budgets, vendors, and details without dropping the ball.
Nice to have
- Background in corporate real estate (CRE), defense/secure environments, or multi-site portfolios.
- SketchUp, Bluebeam, REVIT, Microsoft Project.
- PMP (completed or in progress).
Who you will love working with
This role is for someone who:
- Likes fast-moving work and still keeps things calm and buttoned up.
- Communicates well with everyone: executives, end users, vendors, and internal teams.
- Can zoom out (strategy) and zoom in (details) in the same day.
