We are seeking a highly organized and customer-focused Office Support Specialist to join our team. This role serves as a key point of contact for customers, providing exceptional service while supporting daily office operations and administrative processes. The ideal candidate is detail-oriented, self-motivated, and able to manage multiple priorities in a fast-paced environment.

The Office Support Specialist plays an important role in ensuring a positive customer experience by coordinating communications, maintaining accurate documentation, supporting project-related activities, and assisting team members across departments.


$20-25/hr

M-F, 8am-5pm

Gorham, ME (onsite FT)


Key Responsibilities

  • Provide outstanding customer service through professional, timely, and effective communication.
  • Serve as a primary point of contact for customers, addressing questions and providing updates as needed.
  • Coordinate and manage administrative tasks to support daily operations.
  • Monitor project and workflow status, ensuring information is accurate and up to date.
  • Create and maintain records, estimates, reports, and other documentation using office software and systems.
  • Review and validate documentation for completeness and accuracy.
  • Assist with scheduling, tracking, and organizing work in progress.
  • Collaborate with team members and departments to support operational goals and customer needs.
  • Maintain organized electronic and physical filing systems.
  • Perform additional administrative and office support duties as assigned.

Qualifications

  • High school diploma or GED preferred.
  • Minimum of 1 year of customer service, administrative, office support, or related experience.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities.
  • Excellent verbal and written communication skills.
  • Proficiency with common computer applications, including Microsoft Office and data entry systems.
  • Ability to work independently and as part of a team.

Work Environment & Physical Requirements

  • This position is primarily office-based and involves extended periods of sitting and computer work.
  • Occasional lifting, filing, reaching, bending, and standing may be required.
  • Ability to work effectively in a fast-paced office environment.

Additional Requirements

  • Successful completion of a background check, where permitted by applicable law.

Experience:
