Duties
- Greet visitors and manage front desk operations with professionalism and courtesy
- Handle multi-line phone systems, screen calls, and direct inquiries appropriately
- Manage calendar and appointment scheduling using Microsoft Office, Google Workspace, and other tools
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize QuickBooks for basic bookkeeping and financial record keeping
- Support office management tasks including supply inventory, mail distribution, and document organization
- Provide customer support via phone or email, ensuring excellent service and communication etiquette
- Assist with administrative projects such as typing reports, preparing correspondence, and maintaining office files
- Coordinate with team members to streamline workflow and improve office efficiency
Qualifications
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
- Familiarity with QuickBooks, calendar management tools, and multi-line phone systems is highly desirable
- Excellent organizational skills with attention to detail and accuracy in proofreading and filing tasks
- Exceptional customer service skills with professional phone etiquette
- Ability to work independently with minimal supervision while managing multiple priorities effectively
- Bilingual abilities are a plus for supporting diverse clientele and staff
- Previous experience as a receptionist, personal assistant, or medical/dental receptionist is advantageous
- Strong time management skills coupled with the ability to prioritize tasks efficiently
